Job Summary

The Office Manager plays a key role in the general administration of the office. The Office Manager is responsible for overall front office activities, including the reception area, mail, purchasing requests and facilities. Also responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. The responsibilities and basic skills/qualifications are as follows but not limited to:


  • Responsible for professional, orderly, well maintained office environment - greet visitors, organize and clean front desk area, water flowers, etc.
  • Manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image. Reroute calls to appropriate staff members.
  • Sortand distribute incoming and outgoing 
  • Supervise the maintenance of office equipment ensure printers are fully stocked, purchase office supplies as needed, etc.
  • Responsible for the facilities day-to-day operations.
  • Fax, email and process miscellaneous documents as requested by the managers.
  • Process accounts receivables, payables.
  • Maintain client database, respond to client inquiries.
  • Maintain office filing, process certificates of insurance.
  • Report and process Workers Comp incidents (under the manager's direction).
  • Report and process auto accidents (under the manager's direction).
  • Responsible for apartments and utilities process payments, respond to inquiries.
  • Manage adherence to office policies and procedures.
  • Participate as needed in special department projects, organize company events.
  • Ensure security and confidentiality of data.


  • Solid communication skills, both verbal and written.
  • Excellent organization skills and attention to detail.
  • Ability to interact successfully with both internal and external customers.
  • Ability to multi-task, prioritize and be flexible with changing business needs in a team environment.
  • Experience in bookkeeping/office management/accounting.
  • Proficient in Microsoft Word, Excel, Outlook.
  • 2 years of experience in bookkeeping, invoicing and payroll preferable.
  • Collections experience preferred.
  • Must be available Mon-Fri 9am-6pm (35-40 hours per week).
  • Working on Saturdays required during the summer.


The first interview will be conducted via Skype and candidates selected for a second interview should be able to travel to our corporate office in Hanover, MD.
